Advancing Policy on Email Archiving

In collaboration with central government privacy advisers and the PAR team, CIO-Rijk has reviewed the policy on email archiving, addressing privacy concerns. The policy has been refined to implement measures that will reduce residual risks to an acceptable level. As a result, it is now ready for approval and can move forward in the decision-making process. 

The next step is to submit the policy for approval to the Interdepartmental Committee on the Management of Central Government (ICBR) and the Group Works Council of Central Government (GOR), the umbrella works council of central government. Once adopted, it can then be implemented within all government organisations. 

Developing Shared Policies 

Email filing has been a persistent issue within Central Government due to conflicting interests and legislation. The Archive Act and the Open Government Act promote transparent decision-making, accountability, and public accessibility. In contrast, the General Data Protection Regulation (GDPR) focuses on protecting the privacy of the sender, recipient, and individuals referenced in emails. This divergence creates challenges in establishing a shared policy for storing and archiving email communications.
